Overview of the Position:
Holyoke Public Schools is searching for accounts payable clerk to perform a variety of tasks, supporting the Finance team’s accounts payable and purchasing departments. This is a full time position which falls under the Holyoke Secretaries Association union, BU50, clerical barganing unit.
Our accounts payable clerk position requires excellent organizational skills and the ability to handle time-sensitive information. You will be responsible for ensuring all District invoices are properly recorded, tracked, approved and paid. You will work closely with the Budget Manager, Procurement Analyst, Financial Analysts, District Office Staff, and outside vendors. Success in this role will be demonstrated through accurate payment and financial transaction processing.
Responsibilities:
- Process invoice payments accurately and in a timely manner, gain approval where necessary, and identify and report inaccuracies and variances
- Reconcile and verify all invoices and monthly statements, assign payments to applicable cost centers
- Work with vendors to resolve any invoice issues or inaccuracies
- Ensure all accounts payable processes adhere to district procedures
- Collaborate with other finance team members
- Provide high-quality customer service to current and prospective vendors
- Support district office staff with vendor payment inquiries
- Assist the Procurement Analyst in maintaining purchase orders; send to vendors to fulfill orders, manage files keeping them up-to-date and easily accessible, and monitor order fulfillment
- Perform other duties as assigned
Requirements:
- Exceptional customer service skills
- Extensive data entry skills, spreadsheet, and word processing proficiency
- Proficiency with computer based software including but not limited to Word, Google Docs, Excel, and Windows, and ability to learn other in-house computer software
- Ability to maintain confidentiality
- Ability to manage multiple projects
- PC literacy and experience with MS Office applications
- Excellent organizational and time-management skills
- Ability to work with a team or independently
EDUCATIONAL & JOB EXPERIENCE REQUIREMENTS:
- Prefer an associate’s degree in Accounting, Finance or related field
- Minimum of three (3) years of experience in finance or relevant experience to the job
- Minimum of three (3) years of experience using financial accounting software
- Excellent verbal, analytical, organizational and written skills
- Knowledge of payables, budgeting and accounting best practices
- Strong project management skills and attention to detail
